We recommend that you read this Data Policy in full, and in conjunction with our Terms and Conditions, to ensure you are fully informed before using the ConnectHive website (the “Website”) provided by Deedbees CIC (“ConnectHive”, “Deedbees“, “us”, “we” or “our”).  

As per General Data Protection Regulation (GDPR), we will at all times (a) handle any personal data that comes to our possession in compliance with all relevant data protection and electronic privacy legislation, and; (b) take all reasonable steps to safeguard such data.

By using our Website, you confirm that you have been notified about the collection of your personal data by us, and have received the following information:

  • The purposes of the processing for which personal data are intended as well as the legal basis for processing (see section 2)

1. COLLECTION OF PERSONAL DATA

Personal data refers to any information which relates to you as an individual and from which you can be identified, either directly or indirectly. This includes, for example, information about your name, email address, age, and occupation. The personal data you submit to us will be used for the purposes indicated to you and will not be passed onto unauthorised third parties without your consent.

Information that you provide voluntarily

If you sign up with us to give or get support, you must provide us with your name, email address and details on the support you seek to give or get. You may also opt to provide us with a link to your LinkedIn profile and/or your telephone number. As part of the registration process, we may ask you additional questions to better understand your needs and/or areas of expertise. 

Information that we collect automatically

When you visit our Website, we may collect certain information automatically from your device, such as your IP address or mobile advertising identifier, your browser type, the date and time of your visit and the pages you access. This information may be considered personal data under applicable data protection laws.

The information we collect enables us to better understand the visitors who come to our Website, where they come from, and what content on our Website is of interest to them.  We use this information for our internal analytics purposes and to improve the quality and relevance of our Website to our visitors. 

Google Analytics, a web analytics service provided by Google, Inc. (“Google”) also places cookies on your computer, to enable Google to provide us with activity reports relating to the ConnectHive website. Google uses this data only to provide us with information on how users use the website and does not associate your IP address with any other data held by Google. The information generated by Google cookies about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States. You may refuse these cookies by selecting the appropriate settings on your browser or by downloading and installing the browser plug-in available under https://tools.google.com/dlpage/gaoptout?hl=en-GB

In accordance with industry standards, we may use cookies (small text files) which are transferred to your browser to identify data traffic patterns, personalise content and support security). Data from the cookies used on the website include: browser information, operating system, times and durations that the website has been visited, and connection speed data. They do not provide any information which might disclose the identity of a specific user but they may potentially identify your operating system, your browser and your internet settings. You may change the storing of cookies in your browser settings at any time by selecting the function “accept no cookies”. However, disabling essential cookies may result in you no longer being able to use the entire functionality of our website.

Providing information about or to others

If you wish to provide the personal data of third parties (for example, the e-mail address of friends or possible experts) to us, make sure in advance that the relevant person has been made aware of the disclosure of their personal data to us for the purposes for which you will provide it, and that you have obtained any consents that may be necessary under applicable laws. Note that you can be liable to the relevant person, as well as to us, if you have not obtained the person's consent where required.

Additionally, we recommend that you refrain from sharing your personal data with other ConnectHive users (including your matched Mentor/Mentee). However, if you decide to voluntarily do so, this will be outside of our control and responsibility. Note that if you decide to share a copy of your resume or CV for us to pass on to your Mentor, note that this will be shared as is. Therefore, please ensure that you remove any information you do not want to share with your Mentor (e.g. mobile number, email address).

 

2. USE OF PERSONAL DATA

We process your personal data for the following purposes:

  • Communication: We will use your personal information (email address and/or telephone number) to communicate with you. This includes for registration purposes, to inform you about the general ConnectHive process, answering any questions you may have, and inform you about a match.

  • Matching: We will use your personal information to match you with a Mentor or Mentee. 

  • Safeguarding: We will use and review your information to ensure safeguarding of all users of the ConnectHive services.

  • Feedback: We may also use your personal information to ask for your feedback about our services.

Our legal basis for collecting and using the personal data described above will depend on the personal data concerned and the specific context in which we collect it. In most cases this will be because we need it in order to provide our services to you or because we are processing for our legitimate business interests which are not overridden by your rights such as responding to your queries, undertaking marketing or detecting and preventing misuse of our Website and services. In some cases, we may also have a legal obligation to collect personal data from you or may otherwise need the personal data to protect your vital interests or those of another person.

If we ask you to provide personal data to comply with a legal requirement or to provide a service to you, we will make this clear at the relevant time and advise you whether the provision of your personal data is mandatory or not (as well as of the possible consequences if you do not provide your personal data).

3. SHARING OF PERSONAL DATA

We will share your data with the following parties:

  • Third party service providers required as part of our service to you, for example, conference call providers. 

  • Competent law enforcement bodies, regulatory, government agency, court or other third parties where we believe disclosure is necessary (i) as a matter of applicable law or regulation, (ii) to exercise, establish or defend our legal rights, or (iii) to protect your vital interests or those of any other person.

  • Any other person with your consent to the disclosure. This will likely be the other party in a match (i.e. a Mentor or Mentee registered with ConnectHive).

4. INTERNATIONAL DATA TRANSFERS

Our Website servers are currently located in the UK and third party service providers and partners operate around the world. By using our service, you consent to the transfer of your personal data outside of the European Economic Area.

 

5. DATA RETENTION

We retain personal data we collect from you where we have an ongoing legitimate business need to do so (for example, to provide you with a service you have requested or to comply with applicable legal, tax or accounting requirements). 

When we have no ongoing legitimate business need to process your personal data, we will either delete or anonymise it or, if this is not possible, we will securely store your personal data and isolate it from any further processing until deletion is possible.

 

6. YOUR RIGHTS

  • If you wish to access, correct, update or request deletion of your personal data. 

  • In addition, you can object to processing of your personal data, ask us to restrict processing of your personal data or request portability of your personal data.

  • You have the right to opt-out of marketing communications we send you at any time. You can also exercise this right by clicking on the “unsubscribe” or “opt-out” link in the marketing emails we send you.  To opt-out of any other forms of marketing, please contact us.

  • If we have collected and processed your personal data with your consent, then you can withdraw your consent at any time. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal data conducted in reliance on lawful processing grounds other than consent.

7. LINKS TO AND FROM EXTERNAL PROVIDERS

Note that the Website contains links to sites owned and managed by external third parties. If you open these links, you will be on the website of third parties, whose data protection policy and security measures we are not able to influence.

We may update this Data Policy from time to time in response to changing legal, technical or business developments. When we update our Data Policy, we will take appropriate measures to inform you.
